Enterprise Password Manager Rollout

Environment
Federal government IT environment supporting enterprise users, contractors, and internal administrative teams.

Tools Used

  • Microsoft Word
  • Confluence
  • SharePoint
  • ServiceNow
  • Microsoft PowerPoint
  • Microsoft Teams

Context

The organization was preparing for the rollout of a new enterprise password management platform across multiple departments and user groups. The implementation impacted both technical and non-technical employees, requiring clear onboarding documentation, support procedures, and transition guidance.

The environment included a combination of virtual desktop infrastructure (VDI), remote users, hybrid workers, and internal support teams responsible for account provisioning, troubleshooting, and access governance.

Because the rollout affected authentication workflows and credential processes, the documentation needed to balance usability, compliance, and operational consistency.

Problem

The rollout introduced new authentication workflows and password storage procedures that many end users were unfamiliar with. Early pilot feedback revealed several operational risks:

  • Users were confused about setup requirements and login procedures.
  • Service Desk agents lacked standardized troubleshooting guidance.
  • Existing documentation was fragmented across multiple repositories.
  • Teams were using inconsistent terminology for account enrollment and recovery workflows.
  • Escalation paths for provisioning and support tickets were unclear.
  • There was concern around documentation governance due to the security-sensitive nature of credential management.

Without standardized documentation, the rollout risked increased ticket volume, inconsistent user experiences, and slower adoption across the organization.

Contribution

I owned the documentation planning, development, and standardization efforts that supported the password manager rollout initiative.

My responsibilities included:

  • Collaborating with infrastructure teams, security stakeholders, and support personnel to validate technical accuracy.
  • Organizing documentation repositories within Confluence and SharePoint for easier discoverability.
  • Defining escalation guidance and assignment routing recommendations for support teams.
  • Reviewing documentation for governance alignment and internal-use restrictions before publication.

Impact

The documentation helped streamline the rollout by giving both end users and support teams a centralized source of guidance during deployment.

Key outcomes included:

  • Reduced confusion during onboarding and first-time enrollment.
  • Faster onboarding support for remote and hybrid employees.
  • Better alignment between IT support teams and security stakeholders.
  • Increased self-service capability through structured end-user guidance.
